TULLOCH Engineering is a progressive consulting firm providing integrated planning, surveying, engineering, and environmental services primarily in Ontario. For over 25 years, TULLOCH has provided practical engineering and survey solutions to both the private and public sector.   Our projects range from large government assignments to private residential requests.

We are currently looking for an experienced Full-Time Administrative Specialist to join our growing engineering team in Stoney Creek. Reporting to the General Manger, this is an opportunity to become a highly valued core member of TULLOCH’s engineering division. This permanent full-time position will begin as soon as a successful candidate is found.

 

Responsibilities

 

  • Provide Project Management support as required (invoicing, change orders, cost reports etc.)
  • Assist with editing and compiling proposal documents, statement of qualifications, reports and other materials for clients.
  • Drafting, editing, proof reading memos, letters, emails, reports and other documents as required using Microsoft Office Suite (Word, Excel), Adobe Acrobat and Adobe InDesign .
  • Prepare internal and external corporate documents for team members and management as required, adhering to TULLOCH’s branding guidelines.
  • Support the development of marketing materials.
  • Schedule and co-ordinate meetings and appointments for the General Manager.
  • Respond, as a front-line representative, to phone, e-mail, and in-person inquiries from clients, visitors, business partners and employees in a professional and courteous manner.
  • Web searches and extracting relevant information as directed.
  • Manage the shipping and receiving of courier packages and test materials as well as receipt and distribution of incoming mail.
  • Provide general administrative and clerical support including scanning and copying.
  • Maintain electronic filing system.
  • Order and maintain office supplies.
  • Run office errands as needed.
  • Perform all other related duties as assigned.
Qualifications

 

  • Advanced knowledge of MS Office (Outlook, Word, Excel), Internet Explorer, Adobe Acrobat.
  • Capable of developing templates for standard documents.
  • Superior communication, writing, editing, proof reading and research skills.
  • Organized, high attention to detail.
  • Strong written and verbal communication skills.
  • 5+ years experience in an administrative role; experience in professional services is an asset.
  • College diploma in Office Administration is an asset.
